Co-Sponsorship Request

 

1. Event Requirements

  • Open to and accessible and advertised to all residents living on campus
  • Held on a Thursday, Friday, or Saturday (Note: exceptions can be made on a case-by-case basis)
  • Start no earlier than 8pm, and end no earlier than 11pm (Note: exceptions can be made on a case-by-case basis)
  • Serve food and non-alcoholic beverages; these options should be as inclusive as possible
  • Cearly identify staff members for attendee assistance, safety, and security

The suggestions below will make your event a stronger proposal:

  • Incorporate elements of the University of Arizona community and culture into your event
  • Give attendees the opportunity to connect with new people and strengthen existing bonds
  • Incorporate a promotional "takeaway" into your program where possible and following purchasing guidelines
  • Include multiple activities in your program and multiple levels of engagement for attendees
  • Create a "buzz" for your program before, during, and after
  • Collaborate with campus partners (other groups/offices) to strengthen the reach of your event

2. Funding Information & Criteria 

  • The Cats After Dark Council will provide up to $750 for a single event
  • CRITERIA: Co-sponsorship funds can only be used for event-related expenditures that promote and/or enhance late-night programming at the UA:
    • Expenditures promote late-night programming if they use the Cats After Dark brand.
    • Expenditures enhance late-night programming if they answer "Yes" to one or more of the following questions:
      • Are they related to an event run directly through the Cats After Dark Council?
      • Are they related to a brand new event that has not occurred before?
      • Do they assist with making an annual event occur during the late-night timeframe? (i.e., lights, security, overtime, etc.)
      • Do they add a new, engaging experience to an annual event? (i.e., all else equal, but adding this performance)
  • Co-sponsorship funds will be transferred between UA accounts after all expenditures meeting the above criteria have been made
  • Co-sponsorship is not meant to be the sole funding source of an event, and collaborations and/or use of other funding sources are encouraged and will make for a stronger proposal

3. Request Process

All requests must be submitted to the Cats After Dark Council at least two weeks prior to the program

  • Once a request is received, the Chair will reach out to the requestor to schedule a presentation
  • Presentations will last a total of 20 minutes, including 10 minutes for Q&A

Presenters must send the following to the Chair (late-night@email.arizona.edu) immediately following form submission:

  • A budget for the program, with expenditures meeting the criteria above marked
  • A potential advertisement for the program in PDF format OR a Marketing Request Form submitted to the Council Chair at late-night@email.arizona.edu (if using a form, must be submitted four weeks ahead of the event)
  • Any other materials needed for the presentation

There are three possible outcomes of the process:

  • Full co-sponsorship approval (all requested funds provided up to $750)
  • Provisional co-sponsorship approval (partial or full amount of requested funds provided, and assistance in event planning by work-group member)
  • Denial of request (no amount of requested funds provided)

4. Policies Following Approval

If fully funded, your event MUST utilize the following elements:

  • Assessment/evaluation efforts during and after the event, co-coordinated with the Cats After Dark Council
  • The Cats After Dark mark, hashtag (#CatsAfterDark), and a UA approved logo, in all promotional items and advertisements, co-coordinated with Residence Life Marketing
  • Keep a detailed budget and scanned copies of receipts, and present all (with budget codes) to the Chair in order to settle funding
  • Meet with Chair within one week to follow up on budgetary and assessment items

If provisionally funded, your event MUST utilize the following elements:

  • Assessment/evaluation efforts during and after the event, co-coordinated with the Cats After Dark Council
  • A UA approved logo, in all promotional items and advertisements, co-coordinated with Residence Life Marketing
  • Keep designated Council member updated on program planning process, at least once per week between approval and event end
  • Keep a detailed budget and scanned copies of receipts, and present all (with budget codes) to the Chair in order to settle funding
  • Meet with Chair within one week to follow up on budgetary, assessment, and planning items
